_A build guide for CPA firms, controllers and founders._ Check the no-build options first. If you still need one, here's how to build a small integration with Claude Code or Codex, test it in Intuit's sandbox, and what it costs to run.

## The short answer

Often you don't need one: try a QuickBooks App Store app, QuickBooks' own import, Intuit's QuickBooks connector in Claude or ChatGPT, or Zapier and Make first. If you do, Claude Code or Codex can write a small Python or Node integration against Intuit's free sandbox. Intuit's Builder tier costs $0 as of October 2026, so the real costs are your time, hosting, upkeep and a developer's review before it touches live books.

## First, check whether you need a custom integration

Many searches for **quickbooks api** or **quickbooks integration** start from a job a cheaper tool already does. Try these in order.

1. **An existing app.** Search the [QuickBooks App Store](https://quickbooks.intuit.com/app/apps/home/) for the other system's name. Common syncs, bulk imports and multi-entity reports are already listed.
2. **QuickBooks' own import.** Settings, then Import data, loads customers, vendors, invoices, bills and journal entries from a spreadsheet. Claude or ChatGPT can turn a messy client file into that import file, which you check first. Invoice imports cap at 100 per file and won't run with sales tax on.
3. **A connector.** Intuit's QuickBooks connector in Claude and ChatGPT runs reports and creates invoices, estimates and customers for one US company. [QuickBooks MCP vs Claude skills vs custom API](https://www.nocodetalks.co/blog/quickbooks-mcp-vs-claude-skills-vs-custom-integration) compares it with Meridian, a third-party connector that posts journal entries across several companies.
4. **Zapier or Make** for simple triggers. Make's free plan includes 1,000 credits a month. QuickBooks Online is a Premium app on Zapier, so you need a paid plan.

Build only when none fit: unattended sync, a record type the apps skip, many client companies on a schedule, or a daily tie-out someone signs off.

## What you need to build one with Claude Code or Codex

| Piece | What to use (October 2026) | Notes |
|---|---|---|
| Intuit developer account and app | Free. A sandbox company comes with your developer profile | Up to 10 sandboxes, valid two years |
| AI coding tool | Claude Code, included in Claude Pro ($17/month billed yearly, $20 monthly). Or Codex, included in ChatGPT plans (Plus is $20/month) | Codex reads AGENTS.md. Claude Code reads CLAUDE.md and can also read AGENTS.md |
| Python library | python-quickbooks (community, MIT, about 470 GitHub stars, last release April 2025) plus Intuit's official intuit-oauth client | Check it covers your records first |
| Node library | node-quickbooks (community, ISC, about 370 stars) plus Intuit's intuit-oauth npm client | Intuit also publishes official .NET and Java SDKs |
| Reference code | Intuit's open-source QuickBooks Online MCP server (about 410 stars, updated September 2026) | Shows token refresh and sandbox vs production sign-in |
| Your files | A one-page spec, a sample export from the other system, the chart of accounts and customer list | Sample data only while building |

## The workflow: sandbox first, writes last

1. **Create the app.** At developer.intuit.com, create an app. Under Settings, then Redirect URIs, add a localhost address such as `http://localhost:8000/callback`. The sandbox accepts localhost. Production needs a public HTTPS address.
2. **Set up one folder** with the spec, sample files and a CLAUDE.md or AGENTS.md holding your rules. Keep the client ID, secret and tokens in an uncommitted `.env` file, and add a `Read(./.env)` deny rule in Claude Code. The model never sees them; your script still loads them.
3. **Ask for a plan before any code** (first prompt below; the prompts work the same in Codex).
4. **Connect the sandbox.** Run the sign-in once, or get test tokens from Intuit's OAuth 2.0 Playground. Access tokens last an hour, and the refresh token's value changes every 24 hours, so the code must always save the newest one.
5. **Read before you write:** a read-only pull tied to a QuickBooks report (second prompt).
6. **Add writes with a dry run,** a log and a duplicate check (third prompt).
7. **Break it on purpose.** Revoke the token, ask for a record that doesn't exist, re-send the same file. Intuit also says to test connect, disconnect and reconnect on a sandbox before going live.
8. **Go live.** Add license agreement, privacy policy and app links, then pass Intuit's App Assessment Questionnaire; production keys appear only after approval. A private app shared by URL needs no App Store listing.

Prompt for Claude Code · Plan the integration before writing code:

```
Read SPEC.md and the files in /samples. Plan a small [Python] integration that [pushes approved invoices from our portal export into QuickBooks Online], using [python-quickbooks and intuit-oauth]. Sandbox only.
Don't write code yet. List:
- the QuickBooks records and fields you'll use
- how tokens are stored and refreshed
- how you'll prevent duplicates
- what each run logs
- every assumption about my data
Flag anything in the spec that's ambiguous and ask me before deciding.
```

Prompt for Claude Code · A read-only pull with a tie-out:

```
Write a read-only script for the sandbox company. Pull [open invoices] and the [A/R aging summary] as of [date]. Save the invoices to CSV. Then compare the invoice total to the aging report total and print both numbers and the difference.
Don't create, update or delete anything. If a call fails, stop and print the error. Show me each API call you used and any field you weren't sure how to map.
```

Prompt for Claude Code · Add writes with a dry run and a log:

```
Add a create step for [invoices] from [samples/invoices.csv]. Default to a dry run: print what would be created and how each row matched an existing customer and item, with no API writes.
Write only when I pass --live, and only to the sandbox. Skip rows already created, using [our invoice number] as the key. Log every request and response ID to a CSV.
End with rows read, created, skipped and failed, the dollar totals, and why each skipped row was skipped.
```

## Intuit's open-source MCP server: a reference, or the whole answer

If a person, not a schedule, runs the job, you may not need to build. Intuit's open-source server gives Claude Code 145 QuickBooks tools across 29 record types, including journal entries and bills. It runs on your machine with your own Intuit app, one company per setup.

Set `QUICKBOOKS_DISABLE_WRITE`, `QUICKBOOKS_DISABLE_UPDATE` and `QUICKBOOKS_DISABLE_DELETE` to `true` for read-only use. If you build your own, have Claude Code read this server's sign-in and token code first.

In a September 2026 talk, Jason Staats suggests asking Claude how to build a connector on an app's API; QuickBooks' API can post transactions and journal entries and pull reports.

## Check the output before you trust it

- Tie every run: rows in, created, skipped and failed, with dollar totals that match the source file.
- On the first connection, compare against the same report in QuickBooks, as Hector Garcia, CPA, does before trusting any connector.
- Open a sample of created records in QuickBooks and check the audit history.
- Re-run the same file. Nothing new should be created.
- Never accept "done" without counts and accounts. In Garcia's October 2026 test, a connector said it imported all 100 rows; they had posted as expenses from Cash on hand, an account nobody chose.

## What a QuickBooks API integration costs in 2026

Intuit's App Partner Program meters reads, not writes. **Core** calls that put data in are free and unmetered. **CorePlus** calls that read data out are metered, including for production apps you never publish.

| Tier (US rates) | Monthly fee | CorePlus calls included | Per 1,000 extra |
|---|---|---|---|
| Builder | $0 | 500,000 per developer workspace, then blocked | Not available |
| Silver | $300 | 1 million | $3.50 to 10M, $1.75 to 75M, $0.35 above |
| Gold | $1,700 | 10 million | $1.40 to 75M, $0.28 above |
| Platinum | $4,500 | 75 million | $0.25 above 75M |

> Note: Sandbox calls aren't metered. Premium APIs such as Custom Fields, Projects and Sales Tax start at Silver, so needing one adds $300 a month.

| Ongoing cost | What to budget | Why |
|---|---|---|
| AI coding tool | Claude Pro or ChatGPT Plus, about $20/month. Claude Max starts at $100/month | Long build sessions hit usage limits |
| Hosting | $0 on a machine you already run. A server if it must run all day | Webhooks need a public endpoint that answers within 3 seconds |
| Upkeep | Your time | Refresh tokens expire after 100 days unused. Intuit retired API minor versions 1 to 74 in August 2025 and added fees in 2025 |
| Developer review | Upwork's median for API developers is $20 to $40 an hour, worldwide | Worth paying before anything writes to live client books |

## What non-developers can safely do

| Job | Do it yourself? | Why |
|---|---|---|
| A sandbox prototype to learn the API | Yes | Sample data, nothing real at risk |
| Claude writes a QuickBooks import file you review | Yes | A person checks every row before import |
| A read-only script for your own firm's reports | Yes, carefully | The tokens still open the whole company file |
| Anything that writes to live client books | Get a developer's review | Duplicates and wrong accounts, with no undo button |
| Many client companies, webhooks or a hosted app | Hire or partner | Token storage, security and uptime |

What people report
- An accountant warned that Claude and Codex take shortcuts accounting can't accept, such as skipping a proper ledger or audit trail, hard-coding rates or duplicating functions. (an accountant on r/ClaudeAI (June 2026), https://www.reddit.com/r/ClaudeAI/comments/1uerum1/spent_a_weekend_getting_claude_to_replace/)
- In the same thread, someone who built their own tax software with AI said they trust it only because automated tests compare every result with a commercial product. (a commenter on r/ClaudeAI (June 2026), https://www.reddit.com/r/ClaudeAI/comments/1uerum1/spent_a_weekend_getting_claude_to_replace/)

Procedures matter too. In a January 2026 demo, Pythonic Accountant's own QuickBooks server turned out read-only, so he had Claude drive QuickBooks in the browser. It booked a bad-debt write-off to an income account. It fixed the entry once given the correct procedure. Put your procedures in CLAUDE.md or a skill.

Not everyone thinks firms should build at all. Staats calls telling every firm to build its own software a bad idea.

## Make it repeat next month

- Keep the spec, mappings and rules in CLAUDE.md or AGENTS.md so every session starts with them.
- Schedule it only after a few clean manual runs, and keep every run log.
- Re-check Intuit's fees and API versions once a year.

## Data safety

Claude Code and Codex run on your computer, but anything they read goes to the model. Build on the sandbox and leave Claude Code's approval prompts on; Anthropic says to use bypass mode only in isolated containers or VMs. Before real client data, read [Is Claude safe for client data?](https://www.nocodetalks.co/blog/is-claude-safe-for-client-data), and the [Section 7216 guide](https://www.nocodetalks.co/blog/irs-section-7216-ai-client-consent) if tax-return information is involved.

## Common questions

**Do I need a custom QuickBooks integration?**

Often not. Check the QuickBooks App Store, QuickBooks' own import, the QuickBooks connector in Claude or ChatGPT (US only), and Zapier or Make first. Build only when none of them handle your records, volume or number of companies.

**Can a non-developer build a QuickBooks integration with Claude Code?**

A sandbox prototype, a read-only report pull or an import file you review, yes. Anything that writes to live client books, stores client tokens or runs unattended should get a developer's review first.

**Is the QuickBooks API free?**

Mostly. As of October 2026, Intuit's Builder tier costs nothing. Data-in calls are unmetered and data-out calls are free up to 500,000 a month per developer workspace. Past that, calls are blocked until you move to Silver at $300 a month.

**Should I use Python or Node for the QuickBooks API?**

Use whichever you or your reviewer can read. Python has python-quickbooks and Node has node-quickbooks, both community libraries, and Intuit publishes official OAuth clients for both.

**Do I need to list my app on the QuickBooks App Store?**

No. Once Intuit approves your App Assessment Questionnaire, you can use the app privately and share its URL. A listing needs the Silver tier or higher and three reviews.
