_A setup guide for US CPA firms and bookkeepers, October 2026._ ChatGPT for accountants as of October 2026: the plan to buy, one Project per client, the Excel add-in, and Plugins (the menu once called Apps), plus where each one breaks.

## The short answer

Use ChatGPT Business, from $20 a user a month billed annually with a 2-seat minimum, because OpenAI doesn't train on Business workspace data by default. Give each client its own Project set to project-only memory, do workbook work in the ChatGPT for Excel add-in, and connect QuickBooks from Plugins, the menu that was called Apps earlier in 2026. Then tie every number back to its source before it reaches a client.

> General information, not legal or tax advice. Check the cited rules with your own CPA or attorney before acting.

## Pick your setup in 30 seconds

Take the first row that fits. Anything with client data belongs in a firm workspace, not a personal account.

| Your situation | Use | Go to |
|---|---|---|
| General questions, no client data, just you | Plus ($20 a month) with **Improve the model for everyone** turned off | [Plans](#which-plan) |
| Client files in a chat | Business, one Project per client | [Step 2](#step-project) |
| The work lives in an Excel workbook | The ChatGPT for Excel add-in | [Step 3](#step-excel) |
| Numbers from a client's QuickBooks Online | The Intuit QuickBooks plugin (US only) | [Step 4](#step-quickbooks) |
| A folder of invoices, receipts or statements | Work, in the ChatGPT desktop app | [Step 5](#step-work) |
| A tax or GAAP question you must source | Deep research, limited to sites you name | [Deep research](#deep-research) |
| The same file job every month, at volume | Codex writes a script you run | [Codex](#codex) |
| Scanned PDFs, custom retention or audit logs | Enterprise | [Plans](#which-plan) |

> Note: **Menu names as of October 2026.** Connections live under **Plugins**, in the sidebar and in Settings. Earlier in 2026 that menu was called Apps, and very old versions of the mobile app still show Apps. A plugin bundles one or more apps (the connections) with skills. Agent mode is gone too: OpenAI now points multi-step tasks to **Work**.

## How can accountants use ChatGPT?

Accountants use ChatGPT for 10 jobs, from client emails to workbook reviews, each on the surface built for it.

| Task | Where in ChatGPT | Walkthrough |
|---|---|---|
| Explain a client's month in plain English | Chat, in that client's Project | [Step 2](#step-project) |
| Research a tax or GAAP question with citations | Deep research, limited to sites you pick | [Deep research](#deep-research) |
| Review an inherited workbook before you rely on it | ChatGPT for Excel | [Step 3](#step-excel) |
| Flux or budget-vs-actual commentary | ChatGPT for Excel, or chat with the export | [Flux analysis](https://www.nocodetalks.co/blog/flux-analysis-with-ai), [budget vs actual](https://www.nocodetalks.co/blog/budget-vs-actual-with-ai) |
| A 13-week cash flow from AR and AP agings | Work, or ChatGPT for Excel | [13-week forecast](https://www.nocodetalks.co/blog/13-week-cash-flow-forecast-with-ai) |
| Bank statement PDFs to a workbook that ties | Chat or Work | [Bank statements](https://www.nocodetalks.co/blog/bank-statements-to-quickbooks-with-ai) |
| Draft QuickBooks bank rules from last year's GL | Chat, with a GL export | [Bank rules](https://www.nocodetalks.co/blog/quickbooks-bank-rules-with-ai) |
| Pull AR aging, invoices or a P&L from QuickBooks | The Intuit QuickBooks plugin | [Step 4](#step-quickbooks), [connector options](https://www.nocodetalks.co/blog/quickbooks-mcp-vs-claude-skills-vs-custom-integration) |
| Match a folder of invoices to a bank statement | Work, in the desktop app | [Step 5](#step-work) |
| A parser or QuickBooks API script you run monthly | Codex | [Codex](#codex) |

None of the 10 posts anything for you. The pattern that holds across all of them: ChatGPT drafts, a formula or a cited source proves it, and you approve.

## Which ChatGPT plan fits client work?

Business, for most firms. It's the cheapest firm plan where OpenAI doesn't train on your data by default. Enterprise adds the controls an IT team asks for.

| As of Oct 19, 2026 | Plus | Business | Enterprise |
|---|---|---|---|
| Price | $20 a month, one person | $25 a user a month, or $20 billed annually; 2 to 200 seats | Custom, through sales |
| More usage | Pro tiers | Premium seat: $125 a month, or $100 billed annually, 5x Standard usage | Per agreement |
| Trains on your chats | Yes, unless you turn it off | No, by default | No, by default |
| Apps (connections) | You choose | On by default; admins can turn each off | New ones off by default; admins enable by role |
| Retention | Until you delete | Until you delete | Custom retention policies |
| Reads images inside PDFs | No, text only | No, text only | Yes |
| Compliance API (audit logs) | No | No | Yes |

A solo practitioner on Business still pays for 2 seats: $40 a month billed annually, or $50 monthly. Business is self-serve; for a BAA, zero data retention or invoicing, OpenAI says to buy a contracted plan. Older guides that say ChatGPT Team mean Business, renamed in August 2025.

## Set up ChatGPT for client work in 5 steps

### Step 1: Start a Business workspace and set its defaults

Create it from your ChatGPT account and invite staff. Business turns apps on by default, so as owner open Admin console, then Plugins, and disable the ones nobody needs. Under Workspace settings, General, set **Plugin permissions** to Always ask or Allow read actions.

### Step 2: Make one Project per client, with project-only memory

Select **New project** in the sidebar, then open Project settings and choose **Project-only memory**. On Business, a project left on default memory can draw on chats outside it, including another client's project. Add the chart of accounts and last year's financials. Business projects hold up to 40 files.

Prompt for ChatGPT · Explain the month to the client:

```
Attached: [CLIENT CODE]'s P&L by month for [PRIOR MONTH] and [MONTH], exported from QuickBooks.
1. Build a table: each line, both months, and the change in dollars.
2. Check that the line changes add up to the change in net income. Show the check.
3. Draft a 120-word email to the owner on what moved, citing only the P&L.
4. List what the P&L can't tell us, as questions for the client.
Don't guess at causes. Plain words, no jargon.
```

Example output · Variance:

| Line | Aug 2026 | Sep 2026 | Change |
|---|---|---|---|
| Patient revenue | 148,200.00 | 139,650.00 | -8,550.00 |
| Dental supplies | 11,856.00 | 12,570.00 | +714.00 |
| Lab fees | 9,630.00 | 8,940.00 | -690.00 |
| Payroll and taxes | 61,400.00 | 63,980.00 | +2,580.00 |
| Rent | 9,500.00 | 9,500.00 | +0.00 |
| Other operating | 14,212.40 | 13,904.10 | -308.30 |
| Net income | 41,601.60 | 30,755.90 | -10,845.70 |
| Check: sum of line effects |  |  | -10,845.70 |
| Difference |  |  | 0.00 |

_Fake data. Expenses are shown as positive numbers; a rise in an expense lowers net income._

Example output · Draft email:

```
Hi [Owner],
September net income was $30,755.90, down $10,845.70 (26.1%) from August. Two lines drove most of it: patient revenue fell $8,550.00 (5.8%), and payroll and taxes rose $2,580.00. Lower lab fees and other operating costs offset about $1,000.
Two questions the P&L can't answer:
1. Were there fewer visits in September, or are insurance payments still to be posted?
2. Was the payroll increase a raise, overtime or an extra pay date?
```

_Fake data. The questions are the useful part: they stop the email from guessing._

> Note: **The trade-off:** Work isn't available inside a project-only project, and shared projects switch to project-only automatically. For a Work task on one client, start it outside your projects and attach only that client's files. With many clients, the owner can also turn memory off for the whole workspace.

When a prompt works, ask ChatGPT to turn it into a skill. Skills live under Plugins, then Skills, on Business and Enterprise.

### Step 3: Install ChatGPT for Excel for workbook work

In Excel, go to Home, then Add-ins, search for ChatGPT, add it and sign in with your Business account. It can build, explain and edit large multi-tab files. Its chats don't sync with your main ChatGPT history. Duplicate the file first, as OpenAI suggests.

Prompt for ChatGPT · In ChatGPT for Excel: review a workbook before you rely on it:

```
Review this workbook before I rely on it.
1. Map the tabs and how they link.
2. List every issue: sheet and cell, what's wrong, and whether it's mechanical (a broken formula, a typed number in a formula row) or a judgment call (an assumption).
3. Fix only the mechanical issues. Leave judgment calls for me.
4. Add an Issue log tab with each change, and show the effect on net income.
```

Example output · Issue log:

| Sheet!Cell | Issue | Type | Action |
|---|---|---|---|
| P&L!F22 | May total =SUM(F5:F20) skips row 21, Other income 1,250.00 | Mechanical | Fixed: =SUM(F5:F21) |
| Inputs!C14 | Growth rate typed as 0.035; every other month links to C3 | Mechanical | Fixed: =$C$3 |
| P&L!M40 | #REF! in a memo line after a deleted column | Mechanical | Fixed: points to Cash!M12 |
| Payroll!D8:D19 | Typed salaries over the salary formula | Judgment | Left for you |
| Inputs!C9 | Rent up 4% from July, with no note | Judgment | Left for you |

_Fake data._

Example output · Summary:

```
5 issues: 3 fixed, 2 left for you.
FY net income: 212,480.00 before, 213,730.00 after (+1,250.00, the skipped Other income row).
No other totals changed.
```

_Fake data. Check the fixed cells yourself before you send the file._

### Step 4: Connect a client's QuickBooks from Plugins

Select **Plugins** in the sidebar and search for Intuit QuickBooks. Select Connect Intuit QuickBooks, sign in to the company you want, then select Start chat. It's for US QuickBooks Online customers only. It reads reports, invoices and customers, and it can create and send invoices and estimates, so keep writes on Always ask.

Prompt for ChatGPT · Read-only AR review with a tie-out:

```
Use the Intuit QuickBooks plugin. Read only: don't create, edit or send anything.
1. Pull the A/R aging summary and the balance sheet as of [DATE].
2. Show the aging total next to balance sheet A/R, and the difference.
3. List every invoice over 60 days past due: customer, invoice, due date, days past due, open balance.
4. Link each invoice so I can open it in QuickBooks.
If a number is missing, say so instead of estimating.
```

Example output · Tie-out:

| Check | Amount |
|---|---|
| A/R aging total, 09/30/2026 | 84,615.40 |
| Balance sheet A/R, 09/30/2026 | 84,615.40 |
| Difference | 0.00 |

_Fake data. Aging: current 41,220.15; 1-30 days 22,904.75; 31-60 days 9,870.00; 61-90 days 6,410.50; over 90 days 4,210.00._

Example output · Over 60 days:

| Customer | Invoice | Due | Days past due | Open balance |
|---|---|---|---|---|
| Bayline Hardware | INV-2214 | 06/25/2026 | 97 | 4,210.00 |
| Cedar Ridge Builders | INV-2291 | 07/17/2026 | 75 | 2,960.50 |
| Cedar Ridge Builders | INV-2302 | 07/24/2026 | 68 | 1,850.00 |
| Marlow Plumbing | INV-2310 | 07/30/2026 | 62 | 1,600.00 |
| Total | 4 invoices |  |  | 10,620.50 |

_Fake data. Equals the 61-90 and over-90 buckets._

In CPA Hector Garcia's October 6, 2026 test, Intuit's plugin connected one company file at a time ([@26:28](https://youtu.be/aGyhYW0TQmE?t=1588)). For several client files or journal entries, the Plugins directory also lists QBO Connector by Meridian, a third party from Pilot.com; vet it first. Xero's plugin is read-only.

### Step 5: Use Work for folders and multi-step jobs

Work is ChatGPT's agent for longer tasks and finished files. On the web it runs in the cloud on files you attach. In the desktop app, choose ChatGPT, then Work, and it can open a local folder with your permission. Messages and task context may still be stored in the cloud when the work runs on your computer.

Prompt for ChatGPT · In Work: match a folder of invoices to the bank statement:

```
This folder has [N] vendor invoices (PDF) for [CLIENT CODE] and the [MONTH] bank statement as a CSV.
1. Match each invoice to a bank payment by amount, vendor and date. One payment can cover several invoices.
2. Build a workbook with Matches, Exceptions (unpaid invoices, short payments, payments with no invoice) and Check tabs.
3. On Check, prove with formulas that every invoice and every vendor debit was used once.
Don't move, rename or delete any file.
```

Example output · Check:

| Check | Count | Amount |
|---|---|---|
| Invoices in folder | 42 | 61,904.20 |
| Matched to a payment | 39 | 57,113.70 |
| Unpaid at month-end | 3 | 4,790.50 |
| Difference | 0 | 0.00 |
| Vendor debits on statement | 38 | 58,281.20 |
| Paid against invoices | 37 | 57,101.20 |
| No invoice found | 1 | 1,180.00 |
| Difference | 0 | 0.00 |

_Fake data. 39 invoices match 37 payments because one payment covered 3 invoices. Matched invoices exceed payments by 12.50, the short payment on Exceptions._

Example output · Exceptions:

| Type | Item | Amount | Note |
|---|---|---|---|
| Short payment | INV 1187, Delta Linen | 12.50 | Paid 1,237.50 on a 1,250.00 invoice |
| No invoice | 09/22 ACH QUILL CORP | 1,180.00 | Ask the client for the invoice |
| Unpaid | INV 5530, Brightway Labs | 2,145.00 | Due 10/05/2026 |
| Unpaid | INV 0912, Coastline Waste | 1,920.50 | Due 10/10/2026 |
| Unpaid | INV 7741, Summit Uniforms | 725.00 | Due 10/15/2026 |

_Fake data._

Test it before you trust it. In an August 2026 demo, finance trainer Nicolas Boucher planted mistakes in a copy of the bank file to see whether Work caught them ([@2:31](https://youtu.be/uN57-eyFj3o?t=151)). Do the same with errors you know the answer to.

## Deep research for answers you have to source

Type /Deepresearch or pick it from the + menu. Under Sites, then Manage sites, limit it to domains such as irs.gov and ecfr.gov. You edit its plan first, then get a cited report you can export to Word or PDF. It reads connected apps but never writes to them.

Skip fast answers without sources. In an August 2026 webinar, Garcia ran one tax question twice: the fastest setting answered from memory with nothing to check, and the slower run read and cited sources ([@25:42](https://youtu.be/kDS_qf2x9Ns?t=1542)).

## Codex for scripts you run every month

Codex is OpenAI's coding agent, included on every plan and next to Chat and Work in the desktop app. When a file job repeats at volume, have it write a parser or QuickBooks API script on sample files, then run the script yourself, as in the bank statement guide's [Route 5](https://www.nocodetalks.co/blog/bank-statements-to-quickbooks-with-ai). The AI never needs the real data. Its CLI is open source: [openai/codex](https://github.com/openai/codex) (~130k stars, Apache-2.0, Oct 19, 2026).

## What can't ChatGPT do for accountants?

It can't take responsibility for a number: in recent tests it posted to the wrong accounts and scheduled a task without a test run, so give its output the review you'd give a new hire.

- **Post to QuickBooks with judgment.** In Garcia's October 6 test, Intuit's plugin flagged 10 transfer-like rows. Told to import all 100 anyway, it posted them from Cash on hand without asking, with no payees, and coded a $4,000 transfer to savings as commissions and fees ([@16:37](https://youtu.be/aGyhYW0TQmE?t=997), [@20:25](https://youtu.be/aGyhYW0TQmE?t=1225)).
- **Reach the general ledger through Intuit's plugin.** The same test found no GL, no transaction detail and no journal entry tool ([@10:12](https://youtu.be/aGyhYW0TQmE?t=612), [@11:34](https://youtu.be/aGyhYW0TQmE?t=694)). Export the report and upload it.
- **Read scans, except on Enterprise.** Other plans read a PDF's text layer, which a scan doesn't have. Upload page images (up to 20 MB each) or run OCR first. Even on Enterprise, PDFs saved as Project files are read as text.
- **Hold a big client in one Project.** Business projects take 40 files, and uploads cap at 80 files every 3 hours.
- **Run your macros.** ChatGPT for Excel may not fully support VBA.
- **Test its own work.** In finance creator Mike Dion's July 2026 test, Work set up a daily task and reported it active without a test run. He had to ask for one ([@17:08](https://youtu.be/RJJfqxcX3xI?t=1028)).
- **Give tax advice.** OpenAI's own Excel help page says ChatGPT isn't a financial, legal or tax advisor.

- Every number ties to a source report or a formula you can click.
- Every citation opens and says what the answer claims.
- You opened a sample of anything it wrote to QuickBooks, and checked the audit log.
- What it couldn't answer is listed as a question, not guessed.

What practitioners report
- A preparer compared a client's own ChatGPT run of their tax data with the preparer's results. ChatGPT's numbers were off by a wide margin. (a commenter on r/Accounting (Apr 2026), https://www.reddit.com/r/Accounting/comments/1sr82s5/rant_anyone_else_get_clients_running_their/)
- Garcia, who runs his firm on Business, warns that connected apps often get write access, which can be destructive, so connect only what you need. (Hector Garcia CPA, ChatGPT Basics for Accounting (Aug 2026), https://youtu.be/kDS_qf2x9Ns?t=448)

## Is ChatGPT safe for client data?

On Business or Enterprise, set up as above, it's a reasonable place for client work; on a personal plan with training left on, it isn't.

OpenAI doesn't train on Business, Enterprise or Edu data by default, including what plugins read. On Free, Go, Plus and Pro, turn off **Improve the model for everyone** under Settings, then Data controls; even then, a thumbs-up or thumbs-down can send that whole conversation for training. With ChatGPT for Excel, Microsoft's add-in terms may let Microsoft read the workbook and prompts. The full checklist is written for Claude, but the questions carry over: [Is Claude safe for client data?](https://www.nocodetalks.co/blog/is-claude-safe-for-client-data)

> Note: Tax return information is covered by 26 U.S.C. § 7216, which limits how preparers use or disclose it. This isn't legal advice. See [Section 7216 consent and AI](https://www.nocodetalks.co/blog/irs-section-7216-ai-client-consent) and check with a US CPA or attorney.

## Does ChatGPT store your data?

Yes: chats stay until you delete them, and OpenAI then deletes them within 30 days unless it must keep them for legal or security reasons.

- Temporary chats stay out of history and training, but OpenAI may keep a copy for up to 30 days.
- Deleting a chat doesn't delete a file saved in Library. Delete that copy too.
- Project files stay until you delete the file or the project.
- ChatGPT for Excel keeps your data in the add-in, and some logs stay with OpenAI for 30 days.
- Business has no self-serve data export; ask the workspace owner. Enterprise adds custom retention policies.

## Common questions

**How much does ChatGPT Business cost for an accounting firm?**

Standard seats are $25 a user a month, or $20 billed annually, with a 2-seat minimum and a 200-seat cap. Premium seats, with 5x the usage, are $125 a month or $100 billed annually.

**Is it Plugins or Apps in ChatGPT now?**

Plugins, in the sidebar and in Settings, as of October 2026. Apps still exist as the connections inside a plugin, and guides from earlier in 2026 show the old Apps menu.

**What happened to ChatGPT agent mode?**

OpenAI retired it and points longer, multi-step tasks to Work, which can also use a cloud browser on paid plans other than Go. Review anything it does in another system before you rely on it.

**Can ChatGPT read scanned bank statements?**

Only ChatGPT Enterprise reads the images inside a PDF; other plans read the PDF's text layer, which a scan doesn't have. On those plans, upload each page as an image of up to 20 MB, or run OCR first.

**Can ChatGPT post entries to QuickBooks?**

Intuit's plugin can create and send invoices and estimates for US QuickBooks Online users, but in an October 6, 2026 test it had no general ledger access and no journal entry tool. Check anything it writes in QuickBooks' audit log.
