_A guide for bookkeeping offices on QuickBooks Desktop._ A firm owner asked r/Accounting how to stop four bookkeepers typing 200 invoices a week. Here are both answers: do it yourself, or a custom build.

## The short answer

Nothing built into QuickBooks Desktop turns an emailed invoice into a bill with no clicks. To do it yourself, use a capture tool like Dext or AutoEntry: it reads each invoice and fills in the bill, and a bookkeeper clicks publish. If you want bills to land on their own and your current inbox left alone, that takes a small custom build that writes bills through Intuit's free Web Connector.

## The question: 200 invoices a week, typed by hand

In October 2026 a firm owner posted this on r/Accounting. They do bookkeeping, payroll and sales tax for about 10 businesses. Each business gets about 20 invoices a week.

> Any suggestions how to use AI to help ease the process?
> — a firm owner on r/Accounting (Oct 2026) (https://www.reddit.com/r/Accounting/comments/1x3knty/way_to_automate_invoice_entry_for_quickbooks/)

| Step | How it works today |
|---|---|
| Invoices arrive | Posted to one Google Groups forum |
| Entry | 4 bookkeepers, each on their own businesses, type them in |
| Books | QuickBooks Desktop, one company file per business |
| Paying | Checks printed a couple of times a week with Check Magic |

In the comments they added two conditions. The Google Group stays, because everyone can see every post and nothing gets missed. And someone checks the coding before checks print. They're happy to add an email address that receives every invoice.

> Ran into someone who said I can use Claude. But I'm tech illiterate.

Lots of offices look like this. There are two honest answers, depending on how much you want to change. Pick the tab that fits you below.

## Why QuickBooks Desktop makes this harder

- **It isn't online.** Web tools can't reach the company file over the internet. They need a small connector app on the computer that runs QuickBooks.
- **No tool auto-posts to Desktop.** Dext says auto-publish isn't supported for Desktop. AutoEntry has a per-vendor auto-publish switch but doesn't recommend it for Desktop. Someone clicks publish.
- **The built-in option is narrow.** Desktop 2022 and later (Pro Plus, Premier Plus, Accountant Plus, Enterprise) can take bills at an email address ending @qbdesktopdocs.com. Senders must be users on the linked Intuit account, so vendors and a Google Group can't use it. It reads date, amount and vendor, not the invoice number.
- **Old versions lose the online parts.** Intuit shut off connected services for Desktop 2023 on May 31, 2026. The email feature and the tools' connectors depend on a supported version, so check yours first.
- **A free Google Group can't add a capture address.** For groups ending @googlegroups.com, Google lets you invite but not directly add an address without a Google account. A capture tool's inbox can't click the invite.

> Note: On QuickBooks Online it's simpler. Each user gets a forwarding address ending @assist.intuit.com, and bills land in the Receipts tab for review. Only addresses registered to your QuickBooks users can send to it.

## Do it yourself (SaaS)

For offices that want this working within a week or two, without hiring anyone. You still click publish on each bill, and that click is your coding check.

### Pick a capture tool that works with Desktop

| Option | Works with Desktop | Price (Oct 2026) | Catch |
|---|---|---|---|
| QuickBooks Upload and Review Bills | Built in, 2022+ subscription editions | Included | Only your Intuit users can send to it; no invoice number |
| AutoEntry | Yes, through the AutoEntry Sync App | $13/mo for 50 credits up to $298/mo for 1,500 | 1 credit per invoice, 2 with line items; images don't go into Desktop |
| Dext Prepare | Yes, through Dext Connect (Desktop 2018+) | Per client per month, 10-client minimum, annual contract | No auto-publish to Desktop |
| BILL | Team plan syncs with Pro and Premier | $65 per user per month | Also a payment tool, so it overlaps your check printing |

For the Reddit office, 200 invoices a week is roughly 870 a month. That's a lot of AutoEntry credits, so ask how credits are shared across clients. Dext would bill for 10 clients. Get a quote from both before you choose.

Either way, your invoices now live with that vendor too. Check their data terms the way you would for any client-data tool.

### Set it up once

1. **Pilot one business for two weeks.** Run it next to your current process before you move the other nine.
2. **One client per business.** Add each business as its own client in the tool, so its bills go to the right company file.
3. **Find each client's email address.** In AutoEntry it's under Company Settings > Mailbox Settings; use the Purchases address. In Dext, each client account has its own extract-by-email address.
4. **Install the connector.** Dext Connect or the AutoEntry Sync App goes on the computer or server that holds the company files. It has to be running when you publish.
5. **Set vendor defaults.** For each regular vendor, set the expense account once. The tool fills it in after that.
6. **Add new vendors in QuickBooks first.** Then refresh the tool's vendor list, so the bill has a vendor to land on.
7. **Turn on the duplicate warning in QuickBooks.** Edit > Preferences > Bills > Company Preferences > Warn about duplicate bill numbers from same vendor. It only catches exact matches, so "00025" and "25" slip through.

### Get the invoices into the tool

There are two ways. You can mix them by business.

- **Vendors send to it directly.** Ask each vendor to email or cc that business's capture address. The tool's inbox becomes your shared record: every invoice sits there, visible to everyone, until someone publishes it.
- **Keep the Google Group.** Create a Gmail account and add it to the group on Each email delivery. A Gmail account is a Google account, so you can add it directly. In that Gmail, set one filter per business that forwards to that business's capture address. Gmail first sends a confirmation to the capture address; Dext and AutoEntry both explain where to find it.

One invoice per file works best. If someone scans a stack into one PDF, Dext has a separate "multiple" address that turns each page into its own item.

> Note: One Google Group for every business? The filters need something to sort on, like the property name in the subject line. Ask whoever posts invoices to always include it.

### The routine, and the check

1. **Bookkeepers open their own clients in the tool**, not in QuickBooks.
2. **Check each bill against the invoice:** vendor, date, amount, invoice number and account. Fix anything wrong.
3. **Click publish.** The bill lands in QuickBooks Desktop as unpaid.
4. **Pay bills as you do now.** Pay Bills, then print with Check Magic. Nothing changes there.

- Each week, per business: invoices received in the tool equal new bills in that company file, by count and by total.
- Before each check run, scan the Unpaid Bills Detail report for vendors or amounts you don't recognize.
- Anything sitting in the tool's inbox for more than a week gets chased.
- A new vendor, or a vendor whose remit-to address changed, gets a phone call to a number you already had before any check goes out.

> Note: Check Magic's site lists QuickBooks support up to and including 2024. If you're on 2025 or later, confirm with them before you change anything.

## Custom build

For offices that want bills to land in QuickBooks on their own, with the Google Group left exactly as it is.

### Why a custom build

The tools in the other tab still need a person to publish every bill, and they ask you to change where invoices go. A custom build fits around what you already do.

| | SaaS capture tool | Custom build |
|---|---|---|
| Bills reach QuickBooks Desktop | After someone clicks publish | On their own |
| Your Google Group | Replaced, or a Gmail forwarding layer added | Stays exactly as it is |
| One group for all businesses | Needs a subject-line rule | AI reads the property on the invoice |
| Coding | Vendor defaults you set | Learned from each file's past bills |
| One invoice for several properties | Split by hand | Split by your rule |
| Cost | Monthly, grows with clients or volume | One build, then hosting and AI usage |
| Who fixes it | The vendor | Whoever built it |

My rule of thumb: several company files, a few hundred invoices a month and real staff time on publish clicks means it's worth pricing out. Under about 100 invoices a month, use a tool.

> Note: A custom build still needs one review point. Put it at the check run, where it protects the money, instead of at entry.

### How it works

1. **A mailbox you own joins the group.** Create a Google mailbox, for example invoices-bot@yourfirm.com, and add it to the Google Group on Each email delivery. Nobody else changes anything.
2. **The build reads that mailbox every few minutes** through the Gmail API, with read-only access. The group an email came through tells it which business it belongs to.
3. **AI reads each PDF:** vendor, invoice number, date, due date, amount, line items and the property or service address.
4. **It codes the bill** from that company file's vendor list and the vendor's past bills.
5. **It checks before posting.** Already in QuickBooks under the same vendor and invoice number? Lines don't add up to the total? Unknown vendor? Those go to an exceptions sheet, not QuickBooks.
6. **It writes the bill into QuickBooks Desktop** through Intuit's free QuickBooks Web Connector. The Web Connector runs on the QuickBooks computer and collects new bills from the build on a schedule, one company file at a time. Each bill gets a memo such as AUTO and a link to the original post.
7. **People review at the check run.** Before printing, a bookkeeper runs Unpaid Bills Detail, looks over the AUTO bills and clears the exceptions sheet.
8. **New vendors never post on their own.** A first invoice from a vendor, or a changed remit-to address, always goes to the exceptions sheet. A fake invoice is the cheapest way to get a check printed.

The tie-out runs itself. Each day the build compares, per business, emails received against bills posted plus exceptions open. Every invoice has to be in one of the two.

### What the build needs

| Piece | What it does | Notes |
|---|---|---|
| Google mailbox | Receives every group post | Gmail or Google Workspace, added to each invoice group |
| Small hosted service | Reads mail, calls the AI, queues bills | Any small cloud server |
| AI model | Reads invoices and suggests coding | Claude or similar through its API; invoices reach that provider |
| QuickBooks Web Connector | Writes bills into Desktop | Intuit's free connector, installed next to QuickBooks |
| Exceptions sheet | Holds bills that need a person | A Google Sheet your bookkeepers already know how to use |

- **Build on sample invoices first**, and test against a copy of each company file.
- **Avoid IIF imports.** Intuit tells you to back up first and doesn't support IIF files, and imported transactions aren't linked.
- **Plan when it writes.** QuickBooks Desktop has one company file open at a time on a computer, and your bookkeepers are in those files all day. Have the build write in batches, file by file, when the files are free, such as overnight or at lunch.

### Can you just ask Claude to do it?

Not end to end yet. As of October 2026, Claude Cowork can run scheduled tasks, but its Gmail connector sees email details, not attachment contents. So it can't open the invoice PDFs in Gmail by itself.

Having an AI click through QuickBooks Desktop screens 200 times a week is slow and breaks easily. Claude is good at the reading, which is why the custom build calls it through the API and lets the Web Connector do the writing.

## Which route fits you

| Your situation | Start with |
|---|---|
| Under about 100 invoices a month, fine clicking publish | Do it yourself: AutoEntry or Dext |
| On QuickBooks Online | Its own forwarding address, then a capture tool if you need more |
| Several company files and one shared inbox you want to keep | Custom build |
| Invoices often cover several properties | Custom build |

## Common questions

**Can QuickBooks Desktop read invoices from email by itself?**

Partly. Desktop 2022 and later subscription editions have Upload and Review Bills, with an address ending @qbdesktopdocs.com. Only users on the linked Intuit account can send to it, it reads date, amount and vendor, and you create each bill from the For Review tab.

**Does Dext auto-publish to QuickBooks Desktop?**

No. Dext's help says auto-publish isn't supported for Desktop. AutoEntry has a per-vendor auto-publish switch but doesn't recommend it for Desktop.

**Can I add Dext's or AutoEntry's email address to a Google Group?**

Not directly to a free @googlegroups.com group. Those addresses aren't Google accounts, so Google only lets you invite them. Add a Gmail account to the group instead and forward from it with filters.

**Do I still need Check Magic?**

If you print checks today, yes. Bills still go through Pay Bills and print as before. Check Magic lists support up to QuickBooks 2024, so confirm newer versions with them.
